Spam

The spam folder receives messages identified as unsolicited. Sometimes institutional emails mistakenly end up there, especially during mass mailings from the rectorate. Checking this folder once a week prevents missing a service note.

  • Drafts: messages in progress, saved automatically.

Creating Custom Folders to Effectively Sort Emails

The default folders are not sufficient once the volume of messages exceeds a few dozen per week. A teacher who receives convocations, exchanges with families, and administrative notes needs a proper classification.

To create a folder, a right-click on the sidebar opens a context menu. You select “New Folder,” name it, and it appears in the hierarchy. Naming each folder with an explicit term (for example, “Class Council,” “Continuing Education,” “Administration”) makes future searches easier.

Convergence also allows the creation of automatic sorting rules. These rules move an incoming message to a specific folder based on the sender, subject, or keywords. For example, any email containing “ARENA” in the subject can be directed to a folder dedicated to business applications.

Beware of a common pitfall: stacking too many subfolders. Beyond three levels of hierarchy, navigation becomes cumbersome, especially on a phone screen. A maximum of two levels offers the best compromise between precision and readability.

Storage Quota and Saturation of the Academic Inbox

The academic messaging system allocates a limited storage space to each account. When this quota approaches its limit, the server refuses new incoming messages. The sender receives an error message, but the recipient sees nothing.

Several reflexes can reduce the risk of saturation:

  • Delete large attachments after saving them locally or on an academic cloud space.
  • Regularly empty the trash and spam folder, which count towards the quota calculation.
  • Use the search function instead of keeping messages “just in case” in the inbox.

The trash and spam folder consume storage space. Many users are unaware of this and do not understand why their inbox is saturated when they think they have cleaned up. Emptying these two folders often frees up a significant portion of the quota.

On the security side, the national trend towards strengthening access also affects storage management. Some academies are considering coupling messaging with institutional cloud solutions to offload inboxes while keeping data on public servers. For now, in Bordeaux, the reflex remains manual sorting and regular deletion.

The Convergence Bordeaux webmail is not a static tool. With increasing restrictions on redirections, the arrival of enhanced authentication, and quota management, staff habits are evolving.
